Frequently Asked Questions - LesterPay

Q What must I send in every week?
A Timesheet, Timesheet Header, General Expense Claim form, Telephone Log and supporting receipts where relevant. Without the above we will not be able to run your payroll correctly.

Q What expense may I claim?
A Please refer to Guide To Expenses.

Q When will you invoice the Agency for the work I have done?
A If we receive your Timesheet before 2pm then we will invoice your Agency on the same working day. If your Timesheet is received after 2pm then we will invoice your Agency next working day.

Q When will I get paid?
A This depends on the payment schedule of your Agency. You will find this attached to your Agency contract. If you do not have one, then please obtain one from your Agency as you will find it invaluable. Agency terms vary widely payment is released between 7 to 45 days on receipt of invoice.

Q Once the Agency has made a payment, when will I get paid?
A Money will clear into your bank account five (5) working days after the Agency makes a BACS transfer to LesterPay. The timeline for the processing is:
Day 1 (e.g. Monday): Agency makes BACS payment to LesterPay
Day 3 (e.g. Wednesday): LesterPay receives money from the
Agency AND make a BACS payment to you
Day 5 (e.g. Friday): You received ££s cleared in your bank account.

Q How will I know you have received my Timesheet?
A At the end of the working day you will receive an SMS stating that LesterPay has raised an invoice for you and that it has been sent to your Agency.

Q How will I know when I have been paid?
A LesterPay will send you an SMS on the day we make the BACS transfer to you.  This will detail the day that the money should clear in your account. For example, if the agency made a BACS transfer to LesterPay on         Monday, we would send you an SMS on Wednesday saying "we have transferred £xxx.xx to your account.  This will clear in two working days.”

Q When will you reply to my email
A We aim to reply to emails within three (3) hours (during the working day).

Q Do I always need to send a timesheet in?
A Yes.  If you do not then we cannot invoice your Agency. This will result in a delayed payment to you.

Q My Agency is paying my invoice late, but you know the money will be there soon, why can't I be paid my salary?
A To protect everyone, we cannot pay without cleared funds from your Agency.

Q My Agency is "self billing", do I need to send in a timesheet?
AYes. If we do not receive a timesheet we can not raise an invoice.  A "self billing" Agency will still be able to pay us, but when they do so, the payment will not be linked to your invoice.  This is likely to result in delays in processing the payment to you.

Q How is Tax and National Insurance calculated?
A All employees in the UK are paid through a PAYE scheme. Tax and National Insurance is calculated under the UK PAYE scheme using tax codes issued to individuals by HM Revenue & Customs. The tax code defines your tax free allowances and forms the basis for the tax calculation. In the absence of a tax code, you will be taxed under tax code BR, (Basic Rate - 22% tax).

Q What happens if my contract extends or my pay rate increases?
A Please inform us:
                (1) At the time of the change - (supplementary contract
                documentation may be needed) and,
                (2) Each time you send Timesheets, please make certain that your
new rate is correctly stated on the Timesheet Header.

Note: An increase in your pay rate may mean that certain aspects of the payroll process change or that you may be eligible for one of our services for higher earners.  It can be helpful to discuss your options, especially if you have received a significant increase. If this applies to you please contact the Client Service Team.

A We can work to rectify the situation, but there is an extra administrative charge for doing so.
